3. What personal information we collect
We only collect the personal information we need to respond to you and operate the website. Depending on how you use the site, this may include:
Information you give us directly when you submit a Request for Quotation (RFQ): your first and last name, company name, email address, phone number, country or region, the market/industry or application you are interested in, the product category or model of interest, quantity, project location and timeline, technical details about your requirement (such as the fluid being pumped or flow/head/duty requirements), details of any existing pump being replaced, any files you choose to attach, and any additional message you provide.
Information you give us through the general enquiry or contact form: your name, company name (where the enquiry is business-related), email address, phone number, enquiry type, your message, and any attachment you choose to upload.
Communication preference information: where you ask us to keep you updated on the status of your RFQ or enquiry, we record the contact channel you have consented to (email and/or WhatsApp) and the related contact details.
Optional newsletter subscription information (if and where this feature is enabled): your email address and, optionally, your name and company, together with a record of your consent to receive newsletters.
Information we collect automatically: when you visit the website we may collect technical information such as your IP address, browser type, device information, pages viewed, referring pages, and similar usage data, including through cookies and analytics tools (see section 9).
We do not knowingly collect special categories of personal information through this website, and we ask that you do not submit such information unless it is necessary for your enquiry.
4. Why we process your personal information and on what basis
We process your personal information for the following purposes, relying on the lawful bases indicated under POPIA:
- To respond to your RFQ or enquiry and provide a quotation or information. This is necessary to take steps at your request before entering into any possible commercial relationship, and to pursue our legitimate business interests in responding to potential customers.
- To send you operational status updates about your RFQ or enquiry by email or WhatsApp, where you have provided the relevant contact details and the required consent. These operational notifications are distinct from marketing communications.
- To send you newsletters or marketing communications, only where you have specifically consented to receive them. You can withdraw this consent at any time.
- To operate, secure, maintain and improve the website, including analytics, fraud and spam prevention, and ensuring the website functions correctly. This is based on our legitimate interests.
- To comply with our legal obligations and to establish, exercise or defend legal claims where necessary.
5. Operational notifications and WhatsApp
Where you submit an RFQ or enquiry and provide the relevant consent and contact details, we may send you status updates using approved message templates by email and/or WhatsApp. These are operational messages relating to your specific request — they are not marketing.
WhatsApp messages are delivered using Meta Platforms' WhatsApp Business services. When we send you a WhatsApp message, your phone number and message content are processed through Meta's infrastructure, which is subject to Meta's own terms and privacy practices. You may opt out of WhatsApp notifications at any time by contacting us using the details in section 2, and you can stop receiving them through WhatsApp's own controls.
6. Who we share your personal information with
We do not sell your personal information. We share it only as necessary to operate the website and respond to you, including with:
Authorised TPA personnel who handle RFQs, enquiries and customer communications.
Service providers (operators) who process personal information on our behalf, including our website hosting and database provider, file storage provider, email delivery provider, analytics provider, and WhatsApp/messaging provider. These providers are required to process personal information only on our instructions and to keep it secure. Our current key providers include Tsurumi Manufacturing Co., Ltd – original equipment manufacturer, Dragflow S.r.l – heavy duty slurry pumps & equipment manufacturer, Supabase (database/storage), Vercel (hosting), Meta Platforms (WhatsApp), and our email/analytics providers.
Third parties where required by law, or to protect our rights, safety or property, or in connection with a corporate transaction.
7. Cross-border transfers
Some of our service providers may store or process personal information outside South Africa. Where personal information is transferred across borders, we take steps to ensure it receives an adequate level of protection as required by section 72 of POPIA, for example through providers that are subject to laws or binding agreements providing comparable protection.
8. How we protect your personal information
We apply reasonable technical and organisational measures to protect personal information against loss, unauthorised access, disclosure or misuse. These include secure (HTTPS) connections, restricted and role-based access to submission data, server-side validation, secure file storage, spam and bot prevention on forms, and protection of system credentials. While we take security seriously, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Cookies and analytics
The website may use cookies and similar technologies to make the site work, remember your preferences, and understand how the site is used so we can improve it. Analytics tools may collect aggregated and individual usage information such as pages viewed, time on site and click activity.
You can control or disable cookies through your browser settings. Disabling some cookies may affect how the website functions. Where required, we will request your consent for non-essential cookies through a cookie notice on the site.
10. How long we keep your personal information
We keep personal information only for as long as necessary for the purposes set out in this policy, including responding to your enquiry, meeting our legal and business record-keeping requirements, and resolving disputes. RFQ and enquiry records, and related notification logs, are retained for a minimum of five years unless a longer period is required by law. When personal information is no longer needed, we will delete or de-identify it.
11. Your rights under POPIA
Subject to the requirements of POPIA, you have the right to:
- request access to the personal information we hold about you;
- request that we correct or update inaccurate or incomplete information;
- request that we delete personal information where we are no longer entitled to retain it;
- object to the processing of your personal information in certain circumstances;
- withdraw any consent you have given (for example, to marketing or WhatsApp notifications), without affecting processing carried out before withdrawal; and
- lodge a complaint with the Information Regulator (see section 14).

12. Access to information (PAIA)
You may also have rights to request access to records under the Promotion of Access to Information Act, 2000 (PAIA). TPA's PAIA Manual, where applicable, sets out how to make such a request and is available on request from our Information Officer.
13. Children
This website is intended for business and professional users and is not directed at children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.
